User Permissions

Permission levels for individual resources within Clarizen can be accessed when inviting new users into the account or via the Resource property card in the Resource screen or User Maintenance screen.

User Permissions are system-wide.

Permission types include:

Admin User

Super User

Financial User

External User

*Clarizen also has Project Roles which determine the permissions users have over specific Work Items: Projects, Milestones, Tasks

Admin User

An Admin user within Clarizen has the ability to access and adjust all System Settings including user maintenance, license distribution, currencies, rates and organizational settings.

Admins can also:

  • approve Timesheets of any projects in their organization
  • approve Expenses of any projects in their organization

Multiple users can have Admin permission within a single organization.

Super User

A Super user within the organization has the ability to View and edit all scheduling aspects of Work Items (Projects, Milestones and Tasks) within their organization regardless of their project roles.

When filtering through projects in the Work Items or Home (dashboard) screens, Super users have the ability to view projects in which they have "No Role" as well as "All" projects in the organization.

Super Users can:

  • approve Timesheets of any projects in their organization
  • approve Expenses of any projects in their organization

Multiple users can have Super User permission within a single organization. Typically Project Management Office (PMO) are assigned this permission.

Financial Permissions

Users with Financial Permissions in Clarizen can view and modify financial data across the organization, including user and job title rates, budgeted and actual cost of work items, financial reports and expense reports.

These users have the ability to view the budgetary health of all projects that they are assigned to and are granted access to all work items' financial fields.

Depending on system settings, users with Financial Permissions may be able to:

  • approve Timesheets of any projects in their organization
  • approve Expenses of any projects in their organization

Multiple users can have Financial Permissions within a single organization.

External User

External users in Clarizen have restricted visibility of work items within the system and may or may not be part of your company.

External users can only view projects, or parts of projects, to which they are directly assigned. Meaning, if an External user is assigned to only one specific task within a project, they will not have the ability to view the parent work items of that task. Alternatively, if an External user is assigned to a parent work item, they will have the ability to see all sub items of that specific work item.
